Service Planning Officer
Function
Service Planning Officer at our client’s premises in Lokeren: a versatile role in which you help to keep the service department running smoothly and ensure that every service call is prepared down to the last detail. In this role, you act as the link between customers, technicians, the warehouse, suppliers and the internal organisation. You will oversee the schedule, manage the administrative follow-up of cases and ensure that service assignments are carried out efficiently, accurately and professionally. Thanks to your ability to see the bigger picture, your communication skills and your solution-focused approach, the service technicians can focus on their work and customers receive the smooth service they expect.
Your role is wide-ranging and combines coordination, administration and customer contact:
- You are the first point of contact for customers and keep them proactively informed of the progress of service activities.
- You will schedule appointments and draw up efficient work schedules for service engineers, taking into account region, expertise, availability and priority.
- You will organise all the practical arrangements necessary for the successful completion of the assignment, such as components, transport, aerial work platforms, health and safety, permits, registrations, accommodation and administration.
- You’ll liaise smoothly with the warehouse regarding parts, returns and material flows.
- You will act as the first point of contact for service engineers and work with them to monitor the progress of the work.
- You ensure that work tools, equipment, stock in the van and personal protective equipment are available and in good working order.
- You will draw up service quotations for maintenance contracts, call-outs and repairs.
- You will ensure that documents such as work orders, reports, photographs, serial numbers and safety plans are stored correctly and in an organised manner.
- You work meticulously within the ERP system and attach great importance to accurate data and administrative follow-up.
- You will be part of the on-call rota outside office hours.
- You’ll play an active role in identifying improvements, optimising costs and ensuring the maximum safety of the service engineers.
This role reports directly to the Service Manager and requires a strong combination of organisational skills, technical acumen and a customer-focused approach. You will have the opportunity to make a real impact on the day-to-day running of the service department, as well as on the satisfaction of customers and colleagues.
Profile
For this role, our client is looking for someone with several years of experience in a relevant role, preferably as a work planner or within service administration. You feel at home in a technical environment and know how to bring structure to an operational and dynamic context.
Ideally, you will have the following background and skills:
- Ideally, you will hold a bachelor’s degree, supplemented by relevant experience in work planning, scheduling or service coordination.
- Experience in the construction or industrial sector is a definite advantage.
- You have a good knowledge of Microsoft Office and, ideally, have already worked with an ERP system.
- A technical background, technical insight or experience with technical products is an asset.
- You must be able to communicate fluently in Dutch; a good knowledge of French is essential, and English is an added advantage.
- You have strong organisational skills, work in a structured manner and are able to keep track of several cases at once.
- You take responsibility, focus on solutions and remain calm under pressure or when faced with unexpected changes.
- You have a hands-on approach, show initiative and are not afraid to help prepare or follow up on decisions.
- You are customer-focused, a strong communicator, enthusiastic and motivated.
