Technical and administrative assistant
Function
As Technical Administrative Assistant at Overijse You will support the administrative side of the quotation service and construction sites from start to finish. You will help ensure smooth preparation, proper follow-up and clear communication between suppliers, subcontractors, site management and internal colleagues.
Your role is varied and combines meticulous administrative work with a strong organisational role:
- You request quotes from suppliers and subcontractors and follow up on these quotes closely;
- You will be responsible for the administrative requirements relating to groundworks and demolition works, such as Tracimat, Walterre and Grondbank;
- You will support the start-up of construction sites by, amongst other things, drawing up and monitoring guarantees, applying for utility connections and preparing the necessary administrative documentation in the relevant software systems;
- You will assist with administrative follow-up during the execution of projects, such as placing and tracking orders, processing work performed and providing administrative support for planning;
- You will monitor the structure and completeness of files and ensure that information is made available to all relevant parties in a timely and accurate manner;
- You’ll contribute ideas on how to run the business efficiently and work closely with a close-knit team in which you’ll quickly be given responsibility.
In this role, you’ll be a key link behind the scenes. Thanks to your attention to detail and ability to see the bigger picture, administrative processes run smoothly and colleagues on site can count on your strong support.
Profile
For this role, we are looking for a candidate with strong administrative skills, a practical approach and an interest in the construction sector. You do not need to have years of experience, but you should be keen to learn, organised and ready to settle into a technical environment quickly.
In particular, we expect the following:
- You are fluent in two languages Dutch/French;
- You work with attention to detail, are well-organised and can carry out tasks independently without losing sight of the bigger picture;
- You have strong administrative skills and feel comfortable in a role involving a great deal of follow-up and responsibility;
- You’re comfortable with the standard MS Office applications such as Outlook, Word and Excel;
- You have a background in the construction sector, either through your studies, initial work experience or a keen interest in the sector;
- You are a good communicator, discreet and take the initiative when necessary;
Experience in technical administration, quotation follow-up or site administration is an advantage, but it is above all your motivation, ability to learn and structured approach that make the difference.
